2. Personal Information We Collect
Depending on how you interact with us, we may collect the following information:
- Contact information: name, email address, telephone number, preferred contact method, and business contact details.
- Business and project information: company name, website address, services, service area, project goals, requested features, estimated budget, timeline, software, and information you include in an inquiry.

Payment card information may be handled directly by a third-party payment provider rather than stored by TruWebz.
Please do not submit sensitive personal information—such as passwords, payment card numbers, government identification, tax records, health information, or confidential client files—through a general website inquiry form.
3. How We Collect Information
We may collect information:
- directly from you through contact forms, application forms, email, telephone, video meetings, proposals, contracts, and project communications;
- automatically when you use our website, through cookies, analytics, logs, security tools, and similar technologies;
- from your organization or an authorized representative when they engage us for a project; and
- from public business sources or third-party services when reasonably necessary to prepare or deliver a requested service.
4. Why We Use Personal Information
We may use personal information to:
- review, respond to, and follow up on inquiries;
- determine project suitability, eligibility, scope, timing, and pricing;
- prepare proposals, agreements, invoices, and project plans;
- design, build, test, launch, maintain, and support websites and digital systems;
- connect approved hosting, email, analytics, scheduling, CRM, payment, portal, automation, or other integrations;
- provide customer service and manage our business relationship;
- improve our website, content, services, accessibility, security, and user experience;
- measure website performance and understand how visitors use our site;
- detect, investigate, and prevent spam, fraud, misuse, security incidents, or unlawful activity;
- meet legal, regulatory, accounting, tax, insurance, and contractual obligations; and
- send marketing communications where we have consent or another lawful basis to do so.
We will not use personal information for a materially different purpose without providing notice and obtaining additional consent where required.
5. Consent and Your Choices
By submitting an inquiry, you consent to our use of the information you provide to evaluate and respond to that inquiry. We may contact you using the method you select or the contact information you provide.
Submitting an inquiry does not automatically subscribe you to a marketing list. Where required, we will obtain separate consent before sending ongoing promotional emails or text messages. Commercial electronic messages will include sender identification and an unsubscribe method as required by Canada’s Anti-Spam Legislation (“CASL”).
You may withdraw consent, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may limit our ability to provide a requested service.
6. Cookies and Similar Technologies
Our website may use cookies, pixels, local storage, scripts, and similar technologies for:
- essential website operation and security;
- form functionality and spam prevention;
- remembering preferences;
- analytics and performance measurement; and
- improving content and user experience.
You can control or delete cookies through your browser settings. Blocking some cookies may affect website functionality. Where required by applicable law, we will request consent before using non-essential cookies.
7. Analytics, reCAPTCHA, and Third-Party Services
We may use third-party services to operate, secure, measure, and improve our website and deliver client work. These may include:
- WordPress, Elementor, website hosting, caching, backup, and security providers;
- Google services such as Google Analytics, Search Console, Site Kit, and reCAPTCHA;
- email, calendar, video meeting, form, CRM, and scheduling providers;
- payment, invoicing, bookkeeping, and document-management providers;
- cloud storage, project-management, automation, API, and AI service providers; and
- professional advisers, contractors, and technical service providers working under appropriate obligations.
Google reCAPTCHA may collect device and interaction information to distinguish people from automated activity. Google services are governed by Google’s own privacy terms. Third-party providers process information under their own terms and may change their practices independently of TruWebz.
We aim to provide third parties only with the information reasonably necessary for the relevant service.
8. AI and Automation Services
TruWebz may use AI-assisted or automated tools to support activities such as drafting, summarization, research organization, workflow automation, coding, quality review, or customer-service preparation. When using these tools, we take into account the nature of the information, the purpose, access controls, provider settings, and whether human review is appropriate.
We do not intentionally use sensitive personal information in an AI system unless it is necessary for an approved service, appropriate safeguards and permissions are in place, and the use is permitted by applicable law and contract. Clients remain responsible for ensuring they have authority to provide any personal information included in materials supplied to TruWebz.
9. When We Disclose Information
We may disclose personal information:
- to service providers and contractors that help us operate the website or deliver an approved service;
- to a client organization when an individual contacts us on its behalf;
- in connection with a proposed or completed business transaction, subject to appropriate safeguards;
- to comply with a subpoena, court order, legal process, or lawful government request;
- to protect the rights, safety, property, systems, or interests of TruWebz, our clients, users, or others; or
- with your direction or consent.
We do not sell personal information for money.
10. International and Cross-Border Processing
Some service providers may store or process information outside Ontario or outside Canada, including in the United States or other countries. Information processed in another jurisdiction may be subject to that jurisdiction’s laws and may be accessible to courts, law-enforcement agencies, or government authorities in accordance with local law.
11. Retention
We retain personal information only as long as reasonably necessary for the purposes described in this policy, including responding to inquiries, delivering services, maintaining business and tax records, resolving disputes, enforcing agreements, preventing abuse, and meeting legal obligations.
Retention periods vary according to the type of information, the relationship, contractual requirements, legal obligations, and operational needs. When information is no longer required, we take reasonable steps to delete, anonymize, or securely dispose of it.
12. Safeguards
We use administrative, technical, and organizational measures intended to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. Measures may include access controls, account security, encryption in transit where supported, software updates, backups, vendor review, and limiting access according to business need.
No website, email system, transmission, or storage method is completely secure. We cannot guarantee absolute security.
13. Your Privacy Rights
Subject to applicable law and permitted exceptions, you may ask us to:
- confirm whether we hold personal information about you;
- provide access to that information;
- correct inaccurate or incomplete information;
- withdraw consent;
- delete information that we are not legally or contractually required to retain; or
- explain how your information has been used or disclosed.
